Task Lists

The 2025-26 Revised Estimates will be completed in EFIS 2.0, which is based on Oracle Hyperion Planning. Forms are organized into several different task lists within the system.

Submission Input and Query

This task list contains the EFIS forms for the application, divided into separate folders as described below:

  • OnSIS Data (visible in Financial Statements only) - forms that show enrolment data by school loaded from OnSIS, and any ministry adjustments (if applicable).

  • VFA Data Load (visible in Financial Statements only) - a form with three tabs showing the loaded VFA data, any ministry adjustments, and the final adjusted data that is forwarded to the relevant schedules in EFIS.

  • Forms - combined input and results forms, divided into subfolders for Compliance, Enrolment, Sections (Core Education Funding), Schedules, Data Forms, Appendices, and Errors and Warnings. Because system limitations prevent EFIS from displaying row / column numbers or calculation descriptions on web forms, it is recommended that users refer to the reports when reviewing calculation results and reading the EFIS instructions.

  • Reports - links to generate PDF reports which show inputs, results, and a description of calculations. For full reports, the Report Book subfolder has two separate items:

    • 2025-26 School Board Submission - Revised Estimates: a file that includes all board-level reports
    • 2025-26 Revised Estimates - School Level Reports: a file that includes all school-level reports
  • Reference Data - forms that show the reference data applicable to each school board. These include benchmarks, teacher and ECE qualification and experience factors, principal and vice-principal salary grid factors, table amounts, ministry approved amounts, and notional shares. Mid-cycle change forms and reports are also accessed here.

  • Validation Formats - forms that show the format requirements for the web forms.

Data Refresh

The “Data Refresh - DSB” task list allows users to view updated data from ECIS as well as all prior year data (both adjustable and non-adjustable). Users can review the data and choose whether to push any updated data to their Board Working Version. The first task, “Data Refresh Status”, has separate tabs that display the dates of the most recent data loads and/or data pushes related to the following processes:

  • ECIS
  • Prior Year Data (non-adjustable)
  • Prior Year Adjustable from FS (Revised Estimates only)
  • OnSIS (Financial Statements only)
  • VFA (Financial Statements only)

The form can be used by school boards to determine the most recent data load from each external system that is being populated in the Board Working version.

Because OnSIS and VFA data is automatically pushed to a board’s submission when it is loaded to an EFIS application, the related tabs display only one date column. However, because school boards have a choice to push the latest ECIS and prior year data, their tabs display two date columns:

  • The date that the most recent data available was loaded to the Landing version (for an active doc set, this would always be today or yesterday).
  • The date that a school board user has pushed the data to the Board Working version.

Validation checks have been implemented on the ECIS and Prior Year Data tabs to highlight to users when the Board Working version does not currently have the latest data. To view and/or push the updated data to your submission, please click on the ECIS or Prior Year Non-Adjustable tasks on the task list.

Data Refresh - Revised Estimates

In the Revised Estimates cycle there is an additional task list with one item, “Prior Year Adjustable from S2425FIS”. The prior year adjustable cells are those that are coloured blue on the web forms. They are preloaded with prior year data, but the preloaded values may be adjusted by users.

  • This task exists due to the timing of the Revised Estimates release, which is typically in October (before the submission deadline for the previous year’s Financial Statements in November). At the time of release, the prior year adjustable opening balances are loaded from the closing balances of the prior year’s Revised Estimates.
  • Once a school board has an active Financial Statements submission for the prior year, they can use this task to push their board-submitted closing balances from that submission to the adjustable opening balances in the current Revised Estimates application. Please note that because an overnight process must be run, users will be able to use the prior year adjustable task on the day after they have submitted their Financial Statements.

The top section of the form is used to push the prior year’s Financial Statements data. There are two rows:

  • Do you want to overwrite current working version with Financial Statements data?

    • To push the data, select “Yes / Oui” from the drop-down menu and then click the save button.
  • Date - latest prior year Financial Statements data is pushed

    • Once the data has been pushed, the date of the push will be displayed here.

The bottom section contains all the adjustable prior year data, organized by section, with three columns:

  • Blank Template for Reset

    • This column shows the data that was loaded to all working and draft versions at the time of the Revised Estimates release. The source of the data is the prior year’s Revised Estimates.
  • From S2425FIS

    • This column shows the closing balance values from the prior year’s board-submitted Financial Statements. These are the values that are pushed to the Board Working Version when the functionality in the top section is used.
  • Board Working Version

    • This column shows the data that is currently in the Board Working Version.
    • Note that when the values in this column differ from the values in the “From S2425FIS” column, the cell is highlighted in orange and a data validation message is triggered to notify the user.
Details and limitations

Please note the following points regarding the Revised Estimates data refresh:

  • The prior year Financial Statements data will not become available to push into the Revised Estimates submission until the day AFTER the school board has submitted its Financial Statements.
  • The process only applies to board-level prior year data - it cannot be used for school-level prior year ADE.
  • Only the blue-coloured adjustable cells are included. Schedules that preload the prior year values as locked cells and then have a separate column for adjustments to opening balances will still need to be updated manually (e.g. Schedules 3C, 3D, 3E, 3G, 5.7).
  • All prior year adjustable data must be updated at once; the user cannot pick and choose which cells to update, and the update cannot be reversed once it has been done. However, the cells remain adjustable after the update.

Other Task Lists

There are separate task lists in the application for other types of tasks:

  • Submission Management - tasks for school boards to manage versions, validations, and the approval process for submission to the ministry.

  • User Feedback - a form for users to communicate technical suggestions or feedback to ministry staff related to the EFIS system. Please do not include policy-related feedback; this form is for technical issues only.
